OMISTA is looking for a Project Specialist to join our Team.

THE POSITION

The Project Specialist will play a critical role in supporting the successful execution of various projects across departments. This individual will work closely with the strategy team, department leads, and stakeholders to ensure projects are delivered on time, within scope, and aligned with our strategic goals.


KEY RESPONSIBILITIES

Projects and Initiatives:

  • Assist in the planning, coordination, and execution of projects from initiation to completion.
  • Monitor project timelines, deliverables, and milestones, ensuring they meet agreed-upon objectives.
  • Communicate project updates and progress to team members, stakeholders, and management.
  • Coordinate meetings, prepare agendas and track follow-up action items.
  • Identify potential project risks and issues, escalating them as necessary.
  • Support project budgeting, resource allocation, and scheduling efforts.
  • Maintain detailed project documentation, including plans, reports, and change requests.
  • Assist in the development and improvement of project management tools, templates, and processes.
  • Ensure that projects align with the credit union’s mission, values, and strategic objectives.

Research and Analysis:

  • Perform studies and research to improve business processes and provide recommendations to leadership.
  • Collaborate with the leadership team to develop and maintain performance metrics, measurements, methods and targets for process and policy improvement initiatives.
  • Create standard process flows, operating procedures, and manuals for the organization.
  • Collaborate with cross-functional teams to gather information, analyze data, and support decisionmaking as it relates to policies, procedures, and improvements.  

THE IDEAL CANDIDATE
  • Strong organizational skills with attention to details.
  • Excellent communication and interpersonal skills, capable of working with multiple departments and stakeholders.
  • Advanced skills in the use and application of software and technology.
  • Ability to work independently, manage time effectively, and prioritize tasks.
  • Knowledge of credit union operations.
  • Experience in a Financial Institution. Credit Union experience in varying roles an asset.
  • Demonstrated experience in leading business process transformations of varying sizes and complexity.

Education and Training

  • College diploma or university degree in a business discipline, plus a minimum of five years of job-related experience, or an equivalent combination of education and experience.
  • Training or experience in process improvement methodologies and project management preferred.
  • Training or experience in Change Management preferred.
  • Good knowledge of Office 365 (Excel, OneNote, PowerPoint)

ABOUT THE ROLE

The Compliance & Administration Co-Ordinator is responsible for supporting compliance efforts and ensuring our organization adheres to regulatory requirements. This position includes maintaining compliance documentation, assisting with audits, and providing administrative support to the Accounting/Finance department.

KEY RESPONSIBILITIES

Privacy Officer Duties

The Privacy Officer at OMISTA ensures compliance with PIPEDA and other privacy regulations, conducts privacy risk assessments, and manages data breach responses. The Privacy Officer also facilitates member privacy requests and oversees third-party vendor compliance.

Compliance & Fraud

This position will serve as Deputy Compliance Officer and help to monitor and investigate activities for AML compliance, prepare and submit regulatory reports (e.g., LCTRs, SARs), and assist with fraud prevention and unclaimed property reporting.

Administrative Support

The incumbent will perform internal bank reconciliations and oversee card administration, act as a backup for Accounts Payable and Clearing Officer duties, and support centralized operational functions and manage rate changes. 


THE IDEAL CANDIDATE
  • Strong organizational and problem-solving skills.
  • Excellent communication and interpersonal skills, capable of working with multiple departments and stakeholders.

Education and Training

  • High school diploma with 2 years of relevant experience, or an equivalent combination of education and experience.
  • Good knowledge of privacy regulations, AML compliance, and accounting principles.
  • Proficiency in software and industry-specific terminology.

THE POSITION

We are currently seeking a Financial Service Representative to join our Fredericton team. This individual will play a critical role in assisting members with their personal loan and mortgage needs. In this role, you will be responsible for managing the entire loan process for personal loans and mortgage products. You will work directly with members to understand their needs, assist in loan applications, and provide expert advice on available financial products. Your goal will be to ensure a seamless experience for our members, while meeting performance targets and contributing to the growth and success of the credit union.


KEY RESPONSIBILITIES
  • Loan Consultation: Meet with members to assess their financial needs and provide personalized solutions for personal loans, mortgages, and other lending products.
  • Loan Application Processing: Guide members through the loan application process, ensuring accuracy and completeness of documentation and facilitating approvals in a timely manner.
  • Product Knowledge: Stay up to date on the credit union’s loan products, mortgage options, industry trends, and regulatory requirements to provide expert advice and recommendations.
  • Underwriting and Approval: Review and evaluate loan applications, credit reports, and financial documents to determine loan eligibility and risk factors.
  • Customer Service: Provide exceptional service to members by answering inquiries, addressing concerns, and resolving issues throughout the loan process while identifying opportunities to cross-sell other credit union products and services that may benefit the member’s financial well-being.
  • Compliance: Ensure all loan transactions comply with credit union policies, provincial and federal regulations, and industry best practices.

THE IDEAL CANDIDATE
  • Minimum 3 years of experience in a financial institution- preferably in a personal loans and mortgage lending role.
  • Strong knowledge of loan products, mortgage lending practices and regulatory requirements.
  • Excellent communication and interpersonal skills.
  • Strong analytical and problem-solving abilities.
  • Detail-oriented with ability to manage multiple tasks and deadlines.
  • Ability to work independently and as part of a team.

Education and Training

  • Certificate and/ or diploma in finance, business, or related field, plus a minimum of 3 years of job-related experience, or an equivalent combination of education and experience. Credit Union specific education (CCUA Consumer Loans and Mortgage Lending & CCUA Products and Services) will be required within 1 year.
